Personal Data

What Personal Data We Collect and What We Do With It

Our processing of data has the objective of enabling us to provide services to library users. We use the data to provide the following services:

Using Access Control Systems

The library has an access control system that allows authorised users to enter and exit library buildings and manage library spaces.  The information collected works with the Library Management systems.

Using Library Management Systems

The library keeps track of borrowing transactions through our library management system. We log authentications to electronic resources and services (e.g. LearningZone, DMU Resource Lists). These are subject to the code of conduct for staff and / or students.  In using any of these tools, there will be some data which is stored and used depending on the service being accessed.  Our suppliers also have policies protecting personal data, for example: Talis Aspire (DMU Resource List)

Using third party databases to access resources

Some of the resources to which we provide access themselves offer services which involves the collection of personal data.  For example, saved searches, alerts and bookshelves.  Library and Learning Services strongly advises that you read any privacy notice from such third parties before engaging with their services.

Using LLS Just Ask services or other services requiring an online form.

We use electronic forms to gather personal information for purposes directly related to a service for example, requesting inter-library loans.  Email enquiries to general LLS email addresses, individual members of staff or feedback submissions may also include personal information.  The information collected will only be used in relation to that service or the monitoring of trends in service delivery. 

Using the LLS Tutorial Service

We process the data disclosed during the booking of workshops and tutorials to enable the bookings and to monitor the use of the service. 

This information is subject to the code of conduct for staff to ensure the proper use of this information.

We would not disclose your booking data to any other parties without your written consent.

Where you require us to make reasonable adjustments to enable you to attend a session or sit an exam, we would be likely to require further information from you.  Information about your physical or mental health will only be used by us with your explicit consent, to assess your eligibility.  We will not share or disclose it to others.  You can withdraw your consent at any time by request.

Protecting your Personal Data

We are committed to ensuring that your personal data is secure.  In order to prevent unauthorised access or disclosure, we have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect from you.

Cookies

Many websites place cookies whenever a user visits their site, in order to track traffic flows.  Cookies are text files, which identify your computer to the server.  Some of the De Montfort University websites use cookies in order to provide an enhanced service

Links to Other Sites

The LLS website and related components may contain links to other external web sites.  Although the University will have used its best efforts to confirm that external sites comply with European and UK legislation, the University is not responsible for the privacy practices of such other sites.  When you leave our site please be sure to read the privacy statements of each website that collects personal data about you.  This privacy policy applies solely to information collected by De Montfort University.
